Why "just use a spreadsheet" stops working

A spreadsheet is a genuinely good tool for a one-person business. The trouble starts the moment more than one person needs to trust the same number at the same time.

The version problem

Once a stock sheet, a staff schedule, or a sales log is being edited by more than one person, you eventually get two versions that disagree. Someone worked off yesterday's copy. Someone overwrote someone else's edit. Nobody notices until a customer is told an item is in stock when it is not.

The single point of failure problem

If one person built the formulas and that person is on leave, sick, or has left, the sheet quietly stops being maintained correctly. Nobody else fully understands why a cell references three other tabs.

The "it works until it doesn't" problem

Spreadsheets do not warn you when they are wrong. A dragged formula, a hidden filter, a pasted value instead of a linked one, all fail silently. You only find out when the number that came out of it does not match reality, and by then it has usually already been acted on.

What actually replaces it

The fix is not necessarily an expensive system. It is having one place where the numbers are entered once, calculated the same way every time, and visible to everyone who needs them, without anyone needing to know which tab is the "real" one. For a lot of small businesses that is a modest back office tool, not an enterprise platform. The bar is just: one source of truth, not zero and not five.
